Privacy Policy

Archie is software that supports consulting firms in pursuing and winning new work. It operates on documents and content within the customer firm's own Microsoft 365 environment and works inside Microsoft applications including PowerPoint, Word and Outlook.

Information We Collect

We collect: your name, work email address and company information. Why and how we use it:

To create and support your account and provide the Service.

To communicate with you about your account, security updates and Service information.

To respond to demo requests and support queries.

To tell you about features and products relevant to your use of the Service, in line with your communication preferences.

To enforce compliance with our Terms. How we retain it: until you ask us to delete your account by emailing contact@aiforconsultants.com.

We collect: documents and content your firm connects to the Service ("User Content"). This means the business materials your firm chooses to make available to Archie within its own Microsoft 365 environment, for example past proposals, bid documents, client requirement documents and related files. You are responsible for ensuring User Content complies with our Terms of Service and does not infringe others' rights. Why and how we use it:

To provide the Service: generating business cases, qualification assessments, proposal drafts and commercial options from your firm's own materials.

To create AI-generated content using third-party large language models accessed through their enterprise interfaces [CONFIRM: name providers and route]. We do not:

Use your User Content to train our own or any third party's AI models.

Sell your data to other companies.

Access your User Content, except where you expressly grant access to named support staff to resolve a technical issue, and then only to the material you share. How we retain it: your firm's documents remain within your firm's own Microsoft 365 environment. We collect: events related to use of the Service (access, edit, share and delete events). Why and how we use it: usage data is retained in log files to monitor service quality and to troubleshoot and respond to queries. How we retain it: log files are stored for up to five days and then deleted.

We collect: web browser information. We assign a session cookie to your browser when you log in. We do not assign cookies to visitors who do not log in. Why and how we use it: session cookies retain your login status while using the Service in a browser. How we retain it: cookies are retained for up to two weeks after logout.

Your rights

Under UK data protection law you have rights over your personal data, including access, correction, deletion, restriction and objection. To exercise any of these, email contact@aiforconsultants.com. If you are not satisfied with our response you may complain to the Information Commissioner's Office (ico.org.uk).
